BOOKING
TIMINGS - 10.30 A.M. TO 4.30 P.M. - FROM MONDAY TO FRIDAY

1.
Who can Use :
A
Member of the Ahmedabad Textile Mills' Association, any Organisation
of Group of Professionals/ Citizens' / Philanthropists/ Social
Service and also those carrying activities in conformity with
the law of the land/ a member organisation of the Gujarat
Chamber of Commerce and Industry or any other apex international/
national/ regional body of business/ professionals/ academicians
and the like can use the facilities of Conference Hall, Lawn,
etc. on payment of prescribed fees/charges.
2.
Purpose for which Use of the Hall shall not be permitted :
The use of the Hall shall not be permitted for arranging functions
like Wedding Ceremonies and Wedding Receptions, Caste and
Religion based Get-to-gathers, Drama and Show/ other entertainment
programmes/ Sale and Exhibition, etc.
Permission for showing Documentary Films of Social/Industrial
relevance in Special cases may be granted such permissions
will have to be obtained in writing.
3. Advance Application :
Organisations desirous to use of the facilities of the Conference
Hall, Lawn, etc. shall submit applications for booking (in
the prescribed format) at least four days in advance along
with full payment by Demand Draft payable at Ahmedabad for
all of the leviable service charges as detailed below and
also a refundable security deposit of Rs.1000/-. The Demand
Draft to be drawn in favour of "AHMEDABAD TEXTILE MILLS'
ASSOCIATION".
Acceptance
of Cheques on local banks will be permissible with special
permission of the Secretary General, ATMA. In case of non-realisation
of cheque deposited by the booking party, the same will be
have to be substituted by cash/DD payment alongwith a special
charges of Rs.100/- to cover administration expenses. This
clause, however does not immune the applicants from other
legal proceedings.

BOOKING OF THE HALL, HOWEVER, WILL BE SUBJECT TO AVAILABILITY
OF THE HALL

The Schedule of rates (as applicable from 9-10-2000) is as

5.
Calculation of Service Charges :
The
calculation of charges for final payment will be based on
the period of actual use of the hall from the start till the
Hall is vacated and handed over to the representative of ATMA.
The parties are advised to check the entries related to time.
No dispute will be entertained regarding the time of use,
once an entry is made/ accepted by the concerned organisation.
6.
No other additional accommodation will be provided by the
Association.
7.
Only vegetarian food shall be prepared and served on ATMA
premises. Non-vegetarian food and alcoholic beverages/items
are strictly prohibited. Anybody violating this Rule shall
never be allowed the use of the Hall, Lawn or Open Space in
future.
8.
DAMAGES :
If any damage is caused to the furnitures, fixtures, fittings
and/or any other property of the Ahmedabad Textile Mills'
Association, the Organisation using the Hall will be liable
to pay full compensation therefor. The compensation amount
in such event will be decided by Secretary General, ATMA and
the amount so fixed shall be remitted immediately to ATMA.
9.
Refund of Security Deposit :
The Security Deposit received (as per Clause - 2) alongwith
the application shall be refunded after the event is over
on submission of a formal request by Crossed Cheque to the
Organisation concerned on submission of stamped receipt for
the refund amount of Rs.1000/- only if no damage has been
caused to the furniture, fixture and other property of the
Association and if there is no other amount recoverable.
10.
Cancellation :
The
application for cancellation of the booking shall be given
in writing explaining the reasons leading to cancellation.
In such eventuality leading to the cancellation of the Booking
of the Hall/Lawn, etc. the schedule of refund of amount/cancellation
charges is as under :-

20% .. 5 Days in advance
25% .. 3 Days in advance
50% .. 2 Days in advance
100% Cancellation Charges, i.e. No Refund of the charges if
intimation of booking for cancellation is received within
48 Hours prior to the date of booking.
In case of cancellation of booking the refund amount shall
only be refunded, after 30 days, but within 60 days, against
written request of cancellation, against submission or original
stamped receipt.
Cancellation charges will be levied on total amount payable
including all the services for which bookings have been made.
11. Transfer of Booking :
Transfer of booking shall not be permissible to any other
organisation without express written permission of the Association.
12.
No publicity posters will be put anywhere in the premises
of the ATMA except the Auditorium. Placing of any signage/
slogans/ banners /boards or display arch will be permissible
only at the main entrance gate to ATMA at an extra charge
of Rs.100/- per one Banner of 30 Sq. Ft. Extra banner will
however be permissible with prior permission of ATMA.
13.
Those attending Conference will maintain order and decorum
and restrict their movement on the ground area of the building
only.
Decency and discipline must be observed during the programme
with the staff and management of ATMA.
14.
For smooth operations of the activities, parties are advised
to arrange for guards to organise proper parking or vehicles
such as passenger buses, matadors, mini buses, carriages,
cars, scooters, mopeds, bicycles, etc. which shall have to
be parked only in the identified places within the compound
of ATMA premises.
15. In case of any kind of failure of the services due to
circumstances, beyond the control of ATMA which reaches the
non-functioning of microphones, speakers, air-conditioners
etc. the management will not be responsible and neither any
refund shall be payable nor any damages/compensation shall
be paid.
16.
Management reserves its right to enter the hall/premises during
the programme hours.
17.
All the prevailing rules/law of the land will be observed
and compiled by the applicant.
18.
Management will not responsible for any kind of loss of luggage,
display material or for the loss of valuable articles brought
in by the applicant and guests/ visits or also for Burglary,
House breaking including Larceny or theft.
19.
Overnight stay by any representative of the concerned party
is strictly prohibited.
20. Priority to Members :
The Members of the Ahmedabad Textile Mills' Association shall
have priority over others for the use of the Hall/Lawn, Compound
etc.
21.
Powers of the Office-bearers :
The
Office-bearers of the Ahmedabad Textile Mills' Association
shall have absolute power to accept or reject any application
for permission to use the Hall/Lawn, etc. without assigning
any reason for the same.
22.
In extraordinary circumstances, the Office-bearers of the
Association shall be free to cancel the booking already made
for use of the Hall/Lawn etc. Under such circumstances the
entire amount paid by the concerned party shall be refunded
by an A/c Payee cheque within one week of intimation of such
decision.
23.
The Office-Bearers of the ATMA may in special cases grant
rebates/concessions in service charges and utilisation of
the Hall/Lawn, etc.
